Most Irish businesses are sitting on a tool that could save their team hours every week — and most of them have never used it.
Power Automate is included in most Microsoft 365 Business plans. It connects SharePoint, Teams, Outlook, OneDrive, and hundreds of third-party apps, and it can run automated workflows in the background without anyone pressing a button.
The reason most Irish SMEs have never used it is simple: nobody has sat down and identified which of their processes are worth automating, and nobody has built the flows correctly.
This post does the first part. Here are seven business processes that Irish SMEs run manually every day that Power Automate can handle automatically — with no coding required from your team.
A document is uploaded to SharePoint or emailed to a manager. The manager gets the email, reviews the document, replies with feedback or approval, and someone updates the status manually. If the manager is out of office, the document sits unreviewed for days. Nobody knows where it is in the process.
The Automated VersionWhen a document is added to a specific SharePoint library, Power Automate automatically sends an approval request to the right person in Microsoft Teams. If the approver does not respond within a defined period, an escalation reminder is sent. When the document is approved or rejected, the status in SharePoint is updated automatically and the submitter is notified immediately.
A new hire starts and someone has to remember to send the welcome email, create the SharePoint access request, notify IT to set up accounts, add the person to the right Teams channels, and share the relevant documents. Each of these steps happens separately, usually by a different person, often with things missed.
The Automated VersionWhen a new employee record is created or a form is submitted, Power Automate triggers a chain of actions simultaneously — sending a personalised welcome email, notifying IT, adding the employee to the correct Teams channels and SharePoint sites, and creating a task list for their first week. Offboarding works the same way in reverse.
Emails arrive in a shared inbox — a general enquiries address, a support mailbox, or an accounts email — and someone reads each one and decides where it needs to go, who should handle it, and whether it needs to be logged anywhere. Time-consuming, error-prone, and entirely manual.
The Automated VersionPower Automate reads incoming emails, identifies keywords or senders, and routes them to the right person or team automatically. A finance query gets forwarded to accounts and logged in a SharePoint list. A support request creates a task in Planner and sends a confirmation to the sender. A specific sender type triggers an alert in Teams.
A document is updated in SharePoint. Nobody finds out until they happen to go looking for it — or until someone remembers to send an email saying it has been updated.
The Automated VersionWhen a document in a SharePoint library is modified, created, or deleted, Power Automate sends a notification to the relevant Teams channel — including who made the change and a direct link to the document. Version control in SharePoint tracks what changed. Teams keeps the team informed in real time.
A Microsoft Form, a website enquiry, or a Teams form is submitted. Someone downloads the responses, copies the information into a spreadsheet, sends a follow-up email, and files the original submission somewhere. Each step is manual and the data exists in at least three places by the time the process is complete.
The Automated VersionWhen a form is submitted, Power Automate captures the response and simultaneously adds a new row to a SharePoint list, sends a personalised acknowledgement email to the submitter, creates a task in Planner assigned to the right team member, and posts a notification in Teams. The data is in one place, the follow-up has happened, and the task is assigned — all before anyone opens the inbox.
A contract or invoice arrives by email. Someone saves it to a folder, tells the relevant person it has arrived, waits for approval, chases when nothing happens, updates a tracker manually, and files the final signed version somewhere. At least four manual steps and usually at least two people.
The Automated VersionWhen a contract or invoice document is saved to a designated SharePoint library, Power Automate extracts the key metadata — supplier, amount, date, contract type — and adds it to a SharePoint list that acts as a central tracker. An approval workflow routes the document to the right approver based on the amount or document type. Reminders are sent automatically if approval is not completed within the defined period. When approved, the document is moved to the archive library and the tracker is updated.
A staff member has an IT issue or an internal request. They email IT or a manager. The email gets missed, or sits in a busy inbox, or gets replied to informally and never tracked. Nobody knows the status of the request, and the same issue is raised again by someone else next week.
The Automated VersionA Microsoft Form or Teams-embedded form is used to submit IT and internal requests. Power Automate captures the submission, creates a task in Planner, assigns it based on the request type, and sends an automatic acknowledgement to the submitter with a reference number. When the task is marked complete, Power Automate notifies the submitter and logs the resolution in a SharePoint list.
The Common Thread
Every one of these automations has three things in common.
- The manual version is being done by a person who could be doing something more valuable.
- It is included in the Microsoft 365 licence most Irish businesses are already paying for.
- It requires no coding from your team to run — it runs in the background, automatically, every time the trigger condition is met.
Power Automate is not a future investment — it is a tool your business is already paying for. Every week it sits unused is a week your team spends on processes that a properly configured workflow could handle automatically.
